Program Cancellation Policy

Our organization is committed to delivering high-quality Continuing Professional Education (“CPE”) programs. However, we recognize that there may be instances where it becomes necessary to cancel a program. This Program Cancellation Policy outlines the procedures for canceling a program and how we will communicate the cancellation to participants, in accordance with Standard No. 12.

 

1. Cancellation Decision:

The decision to cancel a program may be made due to unforeseen circumstances such as low enrollment, instructor unavailability, or other significant issues that impact the quality or feasibility of the program. The decision to cancel a program will be made at least five business days before the scheduled start date whenever possible.

 


2. Notification to Participants:

In the event of a program cancellation, our organization will promptly notify all registered participants. Notification will be made via email and will include the following information:

  • The title and date of the canceled program.
  • The reason for the cancellation.
  • Options for receiving a refund or transferring the registration to a future program.

 


3. Refunds and Transfers:

Participants affected by a program cancellation will be offered a full refund of the registration fee. Alternatively, participants may choose to transfer their registration to a future program of their choice without incurring any additional fees. Refunds will be processed within 30 days of the cancellation notice, using the original method of payment.

 


4. Communication Channels:

In addition to email notifications, the program cancellation will be communicated through the following channels:

  • Our organization’s website will display an announcement about the cancellation on the homepage and the program’s specific page.
  • Social media accounts will post updates regarding the cancellation to ensure broad reach and timely communication.
  • If applicable, automated phone calls or text messages may be used to reach participants who provided their contact information.

 


5. Instructor Notification:

Instructors and other program contributors will be notified of the cancellation as soon as the decision is made. This communication will include the reason for the cancellation and any rescheduling plans if applicable.

 


6. Documentation and Reporting:

Records of all program cancellations, including reasons and communications to participants, will be maintained for a minimum of five years. This documentation will be reviewed periodically to help improve our program planning and delivery processes.

By adhering to this Program Cancellation Policy, we aim to handle cancellations in a manner that minimizes inconvenience to participants and maintains the integrity and trustworthiness of our educational offerings. This policy ensures that all stakeholders are promptly informed and provided with clear options regarding refunds and future program participation.
